The individual in this position bears overall responsibility for coordinating efficient shift workflow for the Unit Coordinator team, as well as, providing support to Managers & Clinical Team Leaders. Team leader will communicate adjustments to Clinical Services staff and follow up to ensure that adjustments are adhered to.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following. Others may be assigned.
Learn & Perform all Unit Coordinator functions
Utilize Case Tracker and available reports to monitor case flow and administrative processes & functions. Make necessary changes to ensure cases are reviewed and worked in an efficient and timely manner.
Monitor unavailable and idle time of Unit Coordinators to maintain an efficient time management workflow.
Responsible for stepping in and performing Unit Coordinator function as needed for shift coverage or to assist with back logs. (To be determined by Manager)
Investigate & Follow up on all errors or hospital complaints as they pertain to the Unit Coordinator team
Audit functions of Unit Coordinators to ensure accurate processes are adhered to
Maintain a flexible schedule to support a 24/7 team.
Document and report system down time to the appropriate parties. (e.g., IT/Perot /Team Management)
Provide communications to staff from upper management and/or hospitals
Receive and document Call Off information from team members. Assess and make necessary phone contacts for additional assistance and redistribute case load if necessary.
Provide regular reporting updates to Management team
Implement reporting functions and develop work flows for Unit Coordinator team to improve work flows
Available In Office to support staff as necessary during training, counseling or as needed by Management
Complies with all policies & procedures that pertain to HIPAA including the minimum necessary requirements for this position.
Limits the protected health information (PHI) disclosed or requested to the amount reasonable necessary to achieve the purpose of the request. The disclosures or requests that occur on a routine basis include: patient demographics, condition, notification of actual/potential victim of abuse or neglect, description of injuries for the purposes of a crime investigation, actual/potential for organ donation and patient disposition updates.
Assist the manager with scheduling responsibilities and monthly reporting requirements.
Obtain & maintain necessary security access for any/all client and internal systems
This position carries out supervisory responsibilities in accordance with guidelines, policies and procedures and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION / EXPERIENCE
Include minimum education, technical training, and/or experience required to perform the job.
High School Diploma or GED equivalent required
Bachelorï¿½s degree or two years college training desired
1-3 years of experience preferred
Previous management experience (Minimum 1 year)
Conversant knowledge and experience working with Microsoft Office & spreadsheets.
Possesses ability and confidence in collaborating with Management and Director of Operations.
