SUMMARY OF POSITION:
The Residency Coordinator has responsibilities for the Accreditation Council for Graduate Medical Education (ACGME) and other post-graduate training programs. The focus is on the daily requirements of the residency program including the management of compliance with accreditation requirements, program recruitment, management of resident needs and schedules, management of scheduling for medical students and departmental activities. This position is responsible for all on-boarding and the recruiting process for new residents as well as the ongoing maintenance of all the stages of residency.
PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:

Coordinates the daily operations of the residency program office under the direct supervision of the Residency Program Director helping to support the academic and clinical needs of the Residents and Medical Students.
Supports Program Director, Chief Residents and Resident Physicians, to ensure a smooth and effective educational environment. Also supports the Faculty specific to their educational activities and their activities with Residents and Medical Students.
Comprehends training program regulations according to the appropriate accrediting body and integrates those requirements into the daily activities of the program. Requirements include monitoring resident compliance with academic requirements, compiling and submitting reports.
Coordinates intern/resident applicant interviewing process and match, including daily downloads from the Electronic Residency Application Service (ERAS) and/or other web sources, reviewing and screening applicants, coordination of interview schedules, producing reports on applicant interviews and scoring, and coordination of the program rank meeting and match day activates.
Maintains resident rotation schedules, evaluations, annual training requirements and portfolios in data entry systems as required by the accrediting body, the Program and Florida Hospital Heartland Medical Center.
Assists Residency Program Director with the development and input of program documents such as the PIF, updates, curriculum vitas, curriculum, etc.
Supports program director in all programmatic activities such as scheduling resident intern, exams, and call schedules for residents, and PDO time for residents.
Has a thorough understanding of all basic standards as to advise program director on regulatory requirements and manages the on-call schedules to follow the regulatory requirements for residency work hour limits.
Organizes and reviews remedial plans when needed, keeps individual files on all residents to include their evaluations from various rotations, both formative and summative evaluations.

Has a thorough and complete understanding of the resident software that is used to evaluate the residents. Ensures that evaluations are completed in a timely manner.
The Residency Coordinator works primarily as a liaison between the residency director, chief residents, faculty and student community and an ability to efficiently relay information in a clear and concise manner is of the utmost importance.
Has ability to collect accurate data for student consumption is a necessary requirement, as the coordinator is the main point of information concerning the residency placement process.
Is responsible for attending all annual mandatory educational programs as required by position. Responsible for attending residency fairs as directed by the Director of Graduate Medical Education.
Serves as a residency recruiter for all residency and fellowship programs. Manage ERAS data site and coordinate national match programs. Has constant communication with perspective applicants.
Coordinates interview schedules with faculty and program directors.
Modifies and edits content for residency web sites and other published recruitment material for the Graduate Medical Education department.
Works in collaboration with Director of Graduate Medical Education and program directors to establish selection criteria for each residency program.
Supervises office administrative staff. The main role of this position is managerial, and an ability to delegate tasks and supervise work to check for quality control is necessary.
Performs other duties as assigned or directed by the Residency Program Director and Graduate Medical Education Administration to ensure the smooth operations of the department.
These duties will be performed in an acceptable manner according to the hospitals mission, vision, goals and management expectations.
